An internal transfer cover letter is a short written case for why you should move to a new team inside the same company. Why Internal Cover Letters Are a Different Document

External cover letters sell your background to strangers. Internal cover letters sell your readiness to people who can check your story in Slack, Workday, or a five-minute skip-level. That changes what belongs on the page.

The letter also sits inside a bigger system. Most US employers now run internal mobility on a career-lattice model: you can move up, sideways, or across functions, as long as you pass the same requisition filter everyone else does. That filter is often Workday or Greenhouse, and it still keyword-matches against the posted job description. You still have to adapt to pass, and the same ATS mechanics apply. Adapting is the method. ATS compliance is the mechanism. The interview is the outcome.

The Four-Part Structure

Every strong internal transfer letter has the same four moves. Keep them in order.

  1. Open with the role and the timing. One sentence. "I am applying for the Senior Product Manager role on the Payments team, posted April 14."
  2. Prove readiness with two internal proof points. Not your whole resume. Two projects, programs, or metrics the hiring manager can verify inside the company.
  3. Address the transition. One line on manager awareness, backfill plan, or tenure. Removes the friction HR looks for.
  4. Close with a specific ask. A 30-minute conversation, a call with the team lead, a technical screen. Never "looking forward to hearing from you."

Example 1: Lateral Move to a Different Team

Targeting: Senior Data Analyst in Risk, moving from the Growth team to the Risk team inside a US fintech.

Internal requisitions still run through the ATS

All three examples above mirror keywords from one specific internal posting. Reuse them verbatim on a different requisition and Workday or Greenhouse will score the letter under 40%, because the ATS matches exact terms from the JD, not your tenure.

What US Internal Processes Actually Look Like

A few things that catch people off guard when they apply internally for the first time at a US employer.

Your current manager usually finds out. Workday and Greenhouse both have fields that auto-notify the manager of record once a requisition advances past a certain stage. Some companies notify on submit. Assume your manager will know before you do.

Skip-level conversations are a real filter. At most mid-size and large US employers, the hiring manager will quietly ping your skip-level before scheduling the first interview. If your skip-level has never heard of you, that is a silent no. Build that relationship before you hit apply.

Internal mobility policies vary. Some US employers require 12 months in role. Some require 18. Some require manager sign-off on the application itself. A few let you apply freely from day one. Read the policy. It is almost always in the handbook or on the internal careers site.

Backfill etiquette matters. The strongest internal candidates propose a backfill plan in the letter, talk about it in the interview, and help the hiring manager de-risk their own decision. You are not just asking for a new role, you are asking someone to give up a proven performer.

Comp bands change, not always up. A lateral transfer inside the same job family usually keeps your comp constant. A function change can reset you to the bottom of the new band. A promotion should move you into the new band at a defensible number. Know the math before you sign.
